AGREEMENT TO OUR PRIVACY POLICY

This Privacy Notice for ClassBook (“we,” “us,” or “our”) describes how and why we access, collect, store, use, and share (“process”) your personal information when you use our services (“Services”), including when you register for, access, or interact with the ClassBook web application and any related websites or communications. If you do not agree with our policies and practices, please do not use our Services.

This Privacy Policy is governed by the Privacy Act 1988 (Cth), as amended by the Privacy and Other Legislation Amendment (Better Protection of Privacy) Bill 2024 and subsequent updates. We handle all personal information in accordance with the Australian Privacy Principles and other applicable laws.

1. INFORMATION WE COLLECT

We collect personal information that is reasonably necessary for ClassBook to operate, provide our teacher assisting services, and meet our obligations under the Privacy Act 1988 (Cth). This information helps us support teachers, manage accounts, improve our platform, and ensure secure access for all users.

When you register for ClassBook or interact with our services, we may collect personal information such as your name, contact details, school or organisation, and role. If you make a purchase or subscription, we may also collect billing and payment information. In the course of using ClassBook, you may upload or create teaching materials, lesson plans or assessments that may be shared with other users at your school. This information is stored securely and used only to support your teaching and classroom management.

We collect the following types of information:

1.Name, email address, phone number, and school affiliation
2.Account login details and preferences
3.Payment and billing information, where relevant
4.Teaching content and materials you upload or create within the platform
5.Communications you send to our support team or within the service

We do not intentionally collect sensitive information. If you choose to provide sensitive information, for example, to support accessibility, it will only be used with your express consent or as otherwise permitted by law.

Some technical information is collected automatically when you use ClassBook. This may include your IP address, browser type, device details, operating system, and general usage data, such as which pages or features you access. We use this information to maintain performance, secure the system, and understand how teachers use our platform so we can continue improving it.

In some cases, we may receive information from trusted third parties such as schools, administrators, or service providers that help us operate ClassBook. For example, a school may supply teacher details to create accounts, or we may receive limited data from payment processors or analytics partners.

ClassBook is designed for use by teachers and educational professionals. We do not sell our services directly to students or collect personal information from children for commercial purposes. However, teachers may upload or manage limited information about students, such as names or class groupings, to support classroom activities. This data is used only within the educational context, remains under the teacher’s or school’s control, and is never used for marketing or advertising.

2. USE OF PERSONAL INFORMATION

We use the personal information we collect to operate ClassBook effectively, support teachers, and deliver a secure, reliable, and personalised experience.

We use personal information to:

1.create and manage teacher accounts, subscriptions, and administrative access
2.provide access to ClassBook’s teaching tools, lesson content, and classroom features
3.respond to enquiries, technical issues, and support requests
4.process payments and maintain accurate billing records where applicable
5.improve the quality, performance, and usability of our website and platform
6.communicate with you about service updates, feature changes, or policy information
7.send optional newsletters or product updates if you choose to receive them

We may also use aggregated or de-identified data to analyse usage trends, measure engagement, and improve educational outcomes, but this information cannot be used to identify any individual user.

We will never sell, rent, or trade your personal information for marketing purposes. From time to time, we may contact you with news or updates relevant to ClassBook or related services that support your teaching experience. You can unsubscribe from these communications at any time by using the “unsubscribe” link included in our emails or by adjusting your account preferences.

In some cases, we may also use personal information to meet our legal obligations, enforce our terms of service, prevent fraud, and ensure the security and integrity of the platform. Any such processing is done only to the extent necessary and always in line with applicable Australian privacy laws.

3. DISCLOSURE OF PERSONAL INFORMATION

We only disclose personal information where it is reasonably necessary for the operation of ClassBook or where required or authorised by law. We do not sell or rent personal information to third parties.

We may disclose personal information in the following circumstances:

1.To trusted service providers who assist us in delivering and supporting ClassBook. This may include companies that provide cloud hosting, data storage, analytics, authentication, or payment processing. These providers are engaged under written agreements and are required to handle all personal information securely and only for authorised purposes.
2.To schools, administrators, or educational institutions where accounts are managed on behalf of teachers. In these cases, limited personal information may be shared with authorised school contacts for the purpose of account management, compliance, or educational reporting.
3.To legal or regulatory authorities when disclosure is required by applicable law, a court order, or a valid request from a government or law-enforcement agency. We will only disclose the minimum information necessary to meet such obligations.
4.During a business transaction, such as a merger, acquisition, restructuring, or sale of ClassBook assets. In such cases, personal information may be transferred to the new owner(s) under confidentiality and data-protection arrangements consistent with this Privacy Policy.
5.To professional advisers, such as auditors, legal counsel, or insurers, who assist us in managing our business and complying with legal requirements.

Whenever personal information is disclosed to a third party, we take reasonable steps to ensure it is handled in a manner consistent with this Privacy Policy and the Australian Privacy Principles. If any service providers are located overseas, we will ensure that appropriate data-transfer safeguards are in place and that those providers are bound by privacy standards substantially similar to those under Australian law.

4. STORAGE AND DELETION OF INFORMATION

We take reasonable steps to protect all personal information we hold from misuse, interference, loss, unauthorised access, modification, or disclosure. Information you provide to us is hosted and stored on Amazon Web Services (AWS) servers. AWS maintains robust physical and digital security controls, including encryption at rest and in transit, intrusion detection, and continuous monitoring, in line with international security standards. Internal access to personal information is restricted to authorised staff and service providers who require it for legitimate business purposes.

To safeguard information, we implement a combination of technical and organisational measures, including:

1.Secure server hosting and encrypted data transmission (HTTPS, TLS)
2.Role-based access controls and authentication requirements
3.Confidentiality agreements for all staff and third-party providers handling personal information.
4.Periodic security reviews and access audits to ensure ongoing protection.

While we apply these safeguards, no electronic system can be guaranteed as completely secure, and we cannot ensure that unauthorised access will never occur. If you believe your account or information has been compromised, please contact us immediately.

User responsibility: To help protect your data, you are responsible for maintaining the confidentiality of your login credentials. We recommend using a strong, unique password and enabling multi-factor authentication (MFA) if available. Avoid sharing your account details with others and promptly update your password if you suspect any suspicious activity.

We retain personal information only for as long as necessary to fulfil the purposes described in this Privacy Policy or as required by law. When information is no longer needed, we take reasonable steps to:

1.Permanently delete or securely destroy digital records
2.Anonymise data for statistical or research purposes where appropriate
3.Retain limited records only where required for legal, regulatory, or audit obligations

In the unlikely event of a data breach that may compromise your personal information, we will respond promptly in accordance with the Notifiable Data Breaches Scheme under the Privacy Act 1988 (Cth). This includes:

1.Identifying and containing the breach to prevent further access
2.Assessing the nature and potential impact of the incident
3.Notifying affected individuals where required
4.Taking corrective action to prevent similar incidents in the future

5. CHANGES TO THE PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal obligations under the Privacy Act 1988 (Cth).

If a change is material, for example, if it alters the way we collect, use, or share personal information, we will take reasonable steps to notify you.

All updates take effect from the date they are published, and by continuing to use ClassBook after that date, you agree to the revised policy. We encourage you to review this Privacy Policy periodically to stay informed about how we protect your information.

6. YOUR RIGHTS

Under the Privacy Act 1988 (Cth), you have the right to access the personal information we hold about you, to request corrections where the information is inaccurate, incomplete, or out of date, and to ask for deletion of information that is no longer required for lawful purposes.

You may also withdraw your consent to certain uses of your information, such as receiving optional updates or marketing communications, by using the unsubscribe option in our emails or by contacting us directly.

For security reasons, we may need to verify your identity before providing access or making corrections. We will respond to all requests and complaints as soon as reasonably practicable, and in accordance with our obligations under the Australian Privacy Principles.
